The single biggest reason importers get quotes they can't compare — or samples that come back wrong — is a vague spec. When you tell five factories "I need a 16oz plastic bottle," you will get five quotes for five different bottles, and none of them are comparable. When you hand them a real spec, you get five quotes for the same thing, and the cheapest legitimate one wins.
A product spec is not paperwork. It is the instrument that forces suppliers to compete on price for an identical item instead of quietly substituting a cheaper material or a thinner wall to win your business. After sending a few thousand RFQs, I can tell you the spec is where 80% of sourcing outcomes are decided — long before you talk price. Get it right and everything downstream gets easier: comparable quotes, accurate samples, and a document your inspector can hold the factory to. Get it wrong and you're negotiating in the dark, comparing numbers that don't describe the same product.
A spec that a factory can quote from — and that you can hold them to — answers every question they would otherwise have to guess. The categories that matter:
Identity and function. What the product is and what it does, in one or two sentences. A factory quoting a "cosmetic serum bottle" prices differently than one quoting a "chemical-resistant bottle for an oil-based product," even if they look identical, because the second one implies a compatible resin and a tighter seal. Function tells the factory what the product has to survive, and that changes the material and the price.
Material. The specific resin, metal, or fabric — not the family. "Plastic" is not a spec. "PET," "HDPE," "PP," or "food-grade PP with FDA compliance" is a spec. Material is the biggest single cost driver and the easiest place for a supplier to cut corners you won't see until the product fails in the field. If you don't know the right material, name a reference product and ask the factory to match it — but never leave the field blank, because a blank material field is an invitation to quote you the cheapest resin that vaguely fits.
Dimensions and tolerances. Every critical dimension with a tolerance (±0.1mm, ±0.5mm, etc.). If it mates with another part — a cap on a neck, a lid on a jar, a component into a housing — the mating dimension and thread finish are non-negotiable. This is where "it looked right in the photo" turns into 10,000 caps that don't fit the bottles you ordered from a different factory. Tolerance matters as much as the nominal number: a dimension with no tolerance is an invitation for the factory to hold whatever tolerance is cheapest to produce.
Weight. Target unit weight in grams. Weight is a proxy for how much material is in the part, and it's the number a factory quietly manipulates to hit your price. Two bottles can share every listed dimension and differ 30% in wall thickness — the lighter one feels flimsy, dents in transit, and cracks under a pump. Specifying weight (e.g., "18g ±1g") stops the race to the bottom on material, because now the factory can't win your business by shaving grams you didn't notice.
Finish, color, and print. Surface finish (matte, gloss, frosted), color (a Pantone number, not "white" — there are dozens of whites and they will not match across a reorder), and any printing, labeling, or decoration with the method named (silk screen, hot stamp, in-mold label, pressure-sensitive label). "White" and "print the logo" are the kind of vague instructions that produce a product you technically approved but didn't want.
Compliance and certifications. FDA food-contact, child-resistant, UN-rated, LFGB, Prop 65, REACH — whatever applies. If you need it certified, say so up front; it changes the material, the process, and the price. Adding "must be FDA food-contact compliant" after you've approved a sample is how you end up re-tooling and re-quoting the whole order.
Packaging. How it's packed (bulk, polybag, retail box), units per carton, and carton dimensions and weight. This drives your ocean freight cost and your landed cost, and it's routinely left out until the goods are already palletized wrong and the freight quote comes in double what you modeled.
Copy this, fill it in, and send the same block to every supplier. Blanks you can't fill are questions to resolve before you source, not after.

Here's the difference in practice. The weak version, which is what most first-time buyers send:
"Looking for a white plastic pump bottle, around 8oz, for a skincare serum. Need 5,000. What's your price?"
Every factory reading that has to guess the resin, the exact capacity, the pump type, the neck finish, the wall thickness, and whether it needs to be compatible with an oil-based formula. You'll get five wildly different quotes and won't know why one is $0.40 and another is $0.72.
The same request as a real spec:
- Product: 8oz (240ml) cylinder bottle with treatment pump, for an oil-based facial serum
- Material: PET, virgin (not recycled), chemically compatible with cosmetic oils
- Color: frosted white, matched to Pantone 11-0601
- Dimensions: 150mm height ±1mm, 45mm diameter ±0.5mm
- Neck finish: 24-410
- Pump: treatment pump, 0.2ml/stroke dose, white, lockable
- Target weight: 22g ±1.5g for the bottle
- Printing: none (customer applies own label)
- Compliance: cosmetic-grade, REACH compliant
- Packaging: bulk, polybag per 100, pumps packed separately
- Quantities: 5,000 / 10,000 / 25,000

The second version gets you five quotes for the same bottle. Now the lowest legitimate price actually means something, and when a factory comes in 30% under the others, you can ask exactly what they changed — usually the weight or the resin grade — instead of assuming they're just cheaper.
Understanding how a factory wins your order on price without telling you tells you which fields to lock down hardest:
Every one of these is invisible in a photo and obvious in your hand three months later. The spec is where you close those doors.
Not every field carries the same weight for every product. Prioritize accordingly:
When a drawing or CAD file exists, attach it — a dimensioned drawing removes more ambiguity than any paragraph, and it's the format engineers at the factory actually want.
Order quantities in tiers. Asking for price at three volumes (say 5,000 / 10,000 / 25,000) shows you how the per-unit cost breaks with scale, which tells you whether it's worth ordering more now. A price that barely moves from 5K to 25K means the cost is material-driven and volume won't help you; a steep break means setup is a big share and larger runs pay off. You learn the cost structure for free, just by how you ask.
A reference link. A link to a comparable product — an Amazon listing, an Alibaba page, a competitor's item — removes ambiguity faster than a paragraph of description. Factories understand "make this, but in PET at 22g with a 24-410 neck" instantly, and it's the single fastest way to get an accurate first sample.
Don't hand over your target price unless you're anchoring. If you name $0.30, every quote comes back at $0.29 whether the real cost is $0.18 or $0.28. Ask for their price at each quantity tier first; use the target-price field only when you already know the market and are deliberately anchoring a negotiation.
Don't over-specify the process. Telling a factory how to make the part — which machine, which tooling approach — narrows your supplier pool and invites "we can't do it that way" instead of a quote. Specify the outcome (dimensions, weight, finish, compliance) and let them tell you how. The exception is when a specific process is the point (e.g., "must be injection-molded, not blow-molded" because it affects strength) — then say so and say why.
Do I need a CAD drawing? For custom-molded or machined parts, yes — or at least a dimensioned sketch. For standard items matched to a reference, a written spec plus a reference link is usually enough to quote and sample.
What if I don't know the material? Name a reference product and ask the factory to match it, then confirm the material they propose. Don't leave it blank.
How detailed is too detailed? Detailed on outcomes (dimensions, weight, material, compliance) is never too detailed. Detailed on process/method can be — it narrows your pool for no benefit unless the method genuinely matters.
A tight spec pays off three times. It gets you comparable quotes, so you're choosing on price and terms instead of guessing. It gets you accurate samples, because the factory isn't filling gaps with assumptions. And it becomes your quality-control document — the standard your inspector checks against before goods ship. A factory audit checklist is only as good as the spec it verifies against, and a pre-shipment inspection is meaningless if there's no written standard to inspect to.
